Role Overview:

As an Assistant Manager in LMS Administration, you will be responsible for the overall performance, maintenance, and support of the Learning Management System. You will manage training catalogs, user access, platform configuration, reporting, issue resolution, and system upgrades while acting as the main liaison with the LMS vendor.

This role involves daily administrative tasks, end-user support, compliance monitoring, stakeholder collaboration, and leading initiatives related to LMS optimization and system integration.


Key Responsibilities:

1. LMS Operations & Configuration

  • Perform daily LMS operations and ensure platform is functioning optimally.
  • Adhere to standard procedures and protocols for maintaining security, confidentiality, and data integrity.
  • Stay updated with the latest LMS technologies and software developments.

2. Client and Stakeholder Collaboration

  • Liaise with clients and internal stakeholders to understand training needs.
  • Explore opportunities to expand talent development programs.
  • Address training-related queries through a shared mailbox and escalate issues where necessary.

3. User Management

  • Create and manage login credentials and assign appropriate access permissions.
  • Enroll users into learning programs and monitor their progress.
  • Create and manage learning audiences and training assignments.

4. Course Administration

  • Manage training catalogs including adding, archiving, and updating learning content.
  • Create learning objects, set up course structures, and publish training materials.
  • Maintain the accuracy of course completion statuses, certifications, and assessments.

5. Reporting & Analytics

  • Generate regular and ad hoc reports on course assignments, completions, performance, and user engagement.
  • Monitor LMS KPIs to identify trends and provide actionable insights to stakeholders.

6. Incident & Issue Management

  • Troubleshoot LMS-related issues such as access problems, incomplete course records, and interface errors.
  • Collaborate with IT support and LMS vendor for complex issues that require escalation.
  • Maintain an incident log and proactively resolve recurring problems.

7. System Upgrades & Integrations

  • Conduct regular system audits to identify areas for improvement.
  • Support LMS upgrades, patches, and functionality enhancements.
  • Collaborate with the HRIS team to test new features and migrate changes to production environments.
  • Assist in the transition from legacy systems, including content and data migration.

8. Documentation & SOP Development

  • Create and maintain detailed SOPs, training manuals, and user guides.
  • Provide documentation for various LMS roles and workflows.

9. Quality Assurance & Testing

  • Perform quality checks and sample test training content during LMS upgrades.
  • Document test cases and results to ensure system functionalities are stable and user data is preserved.

Required Qualifications:

  • A Bachelor’s Degree from a recognized institution.
  • Hands-on experience with major Learning Management Systems.
  • Strong understanding of LMS standards, configurations, and functionalities.
  • Technical proficiency in LMS content troubleshooting and system upgrades.
  • Strong written and verbal communication skills.
  • Ability to work independently while managing multiple stakeholders.
  • Exceptional problem-solving skills with a keen attention to detail.

Preferred Skills and Experience:

  • Prior experience handling LMS administration at an enterprise level.
  • Familiarity with LMS platforms such as Oracle, SAP SuccessFactors, Cornerstone, or Moodle.
  • Exposure to HRIS integration, content authoring tools, and SCORM/AICC/xAPI standards.
  • Experience in designing and executing LMS migrations and upgrades.
  • Ability to develop training material and conduct workshops for end users.
